Easy Cozy Wellness Inc. ("Easy Cozy Wellness", "we", "us") runs a wellness studio at 6418 Dover Rd, Nanaimo, BC and the website easycozy.ca. We follow British Columbia's Personal Information Protection Act (PIPA). This page explains what personal information we collect, why we collect it, who we share it with, and the choices you have.

1. How to reach us about privacy

For privacy questions, to see or correct the information we hold about you, or to withdraw your consent, email admin@easycozy.ca or call or text 778-561-0208. We will reply as soon as we can and within the time limits PIPA sets.

2. Information you give us

  • Bookings: your name, phone number, email, the service and time you choose, and any notes you add. Our online booking pages and website chat run on our booking and client messaging platform (HighLevel, also called LeadConnector).
  • Messages: what you send us through the website chat, email or text.
  • Phone calls: calls to our studio line (778-561-0208) may be answered by an AI phone assistant that runs on our booking and messaging platform. Calls are recorded and transcribed. The recording and transcript can include your phone number, your name, what you ask about, and any appointment details you give. The assistant tells you at the start of the call that it is an AI assistant and that the call is recorded. If you would rather not be recorded, you can text us at the same number or email us instead.
  • Payments and gift cards: buyer and recipient names, contact details and order details. Card payments, online and in the studio, are handled by our payment processor, Square. We do not see or store your full card number.
  • First-visit form: before your first visit we may ask you to fill in a short form about your comfort, preferences and areas of concern. We will ask for your consent on the form, use it only to plan your session, keep it confidential, and never use it for marketing.

3. How we use it

  • to confirm, remind you of, and reschedule appointments by email or text;
  • to answer your questions;
  • to follow up on phone calls, and to review call recordings and transcripts so we can check that our phone assistant gave you correct information;
  • to process payments and gift card orders;
  • after a visit, to ask whether you would like to leave a review (tell us any time if you would rather not hear from us about this);
  • with your consent, to send occasional news or offers by email or text. Every message tells you how to unsubscribe, and you can opt out at any time;
  • to keep records the law requires, such as tax records.

We do not sell or rent your personal information.

4. Information collected automatically

Like most websites, ours uses cookies and similar technologies from the providers below. They help us understand how visitors use the site, check whether our ads lead to bookings, and show our ads to people who have visited before. They can record the pages you view, how long you stay, clicks and scrolling, your approximate location (city level, based on your IP address), your device and browser type, and the site or ad that brought you here. We do not use these tools to collect your name or contact details.

  • Google Tag Manager: a tool we use to load the services below.
  • Google Analytics: visit statistics. We keep this data for 14 months and have not turned on Google signals.
  • Google Ads: conversion tracking (whether a visit from one of our ads led to a booking) and remarketing (showing our ads to past visitors on Google and partner sites). Our Google Analytics account is linked to our Google Ads account.
  • Microsoft Clarity: heatmaps and session recordings that show how visitors move through our pages, so we can fix confusing layouts. We have set Clarity to mask sensitive text, such as email addresses and what you type into forms, before it is sent.
  • Meta Pixel: measures our Facebook and Instagram ads and lets us show those ads to past visitors.

These providers may process data in the United States or other countries outside Canada under their own privacy policies.

5. Your choices

6. Who we share it with

We share personal information only as needed with service providers that help us run the business: our booking and messaging platform (including the AI services it uses to answer and transcribe calls), our website hosting provider, our payment processors, the analytics and advertising providers listed above, and our accountant. We may also share it when the law requires or permits. Some of these providers store information outside Canada, where it may be accessible to authorities under local law.

7. Safeguards and how long we keep it

We use reasonable safeguards to protect your information, and only people who need it to serve you can access it. Booking, payment and gift card records are kept for 6 years after the end of the tax year they relate to, as the Canada Revenue Agency requires. We keep other information only as long as we need it for the purposes above or as the law requires, then delete it securely.

8. Seeing and correcting your information

You can ask to see the personal information we hold about you and ask us to correct it. Contact us as shown in section 1. If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia.

9. Changes to this policy

We may update this policy from time to time. We will post the new version on this page and change the date at the top.
